Picture Day planning guide
We are committed to making Picture Day easy and enjoyable for leagues, parents, and staff. That’s why we’ve developed a concise guide that walks leagues through the entire Picture Day process from start to finish. This guide includes a helpful checklist of important items to plan and coordinate both before and after Picture Day.
Date and Location
While we can accommodate nearly any event schedule , we highly recommend holding photos before games or on a dedicated Picture Day with no overlapping events. We typically discourage scheduling photos on Opening Day, as ceremonies and delays often create conflicts with the photo schedule.
Our team will arrive early to set up, but all gates and facility access must be open upon arrival to keep everything running on time. Please also ensure the location is accessible to parents and staff.
Scheduling Teams
Create a schedule with a unique arrival time for each team to help maintain an organized and efficient flow throughout the day.
For example, we prefer a 6-hour schedule with one team arriving every 15 minutes rather than a condensed 3-hour schedule with multiple teams arriving every 5 minutes.
This creates a more relaxed experience for players, parents, and staff, while reducing long lines, overcrowding, and unnecessary delays.
Passing Out Order Forms
It is important to us that families receive our order forms 1–2 weeks prior to Picture Day.
This gives parents time to review available packages and place orders in advance if they choose, helping save time on Picture Day. Early distribution also helps create a smoother, more organized flow throughout the event.
Our staff will also be available at the check-in table to assist with purchases and answer any questions regarding our products and packages.
